Advisor capacity calculator: how many households can you serve?

Estimate how many client households one advisor can serve from hours worked, service model and admin share, with every assumption shown and editable.

As of Oct 20, 2026, this calculator estimates how many households one advisor can serve from 7 editable assumptions: hours per week, weeks per year, the share of time not spent on client work, meetings per household, meeting length, preparation time and other hours per household.

Nothing you enter here is stored or shared. The starting numbers are placeholders, not benchmarks: replace each with your own.

Your time
Your service model, per household

How this works

  1. Work hours a year = hours per week x weeks per year.
  2. Client hours a year = work hours x (100% minus the share of time that is not client work).
  3. Hours per meeting = meeting length + preparation and follow-up.
  4. Hours per household a year = meetings per year x hours per meeting + other hours per household.
  5. Households = client hours a year / hours per household a year, rounded down to a whole household.
  6. Nothing you enter is stored or shared.

  • Kitces Research found the typical Senior Advisor spends 2.8 hours a week on administrative tasks, about 135 hours a year or roughly 7% of working hours. [1]
  • Kitces cites research that advisors spend about one hour on meeting preparation and one on follow-up, two hours in all, per meeting without an AI notetaker. [2]
  • Kitces describes solo advisors using none to four efficiency tools as serving roughly 40 client households at just under $6,500 of annual revenue per client. [1]
  • Kitces found a first support hire, typically a client service associate, lowers an unsupported solo senior advisor's administrative share of working hours from 8.6% to 7.4%. [1]
